Overview

A donation’s tax year on a WeGive year-end statement is decided by the date the gift was created (the date and time the donation was made or recorded in WeGive). It is not decided by the date the money is paid out to your bank account, or by the date a bank transfer finished processing. This applies to the statement a donor downloads from their portal, the statement you download from a supporter’s record, and the year-end export under Settings → Annual Tax Statement.

How the year is calculated

  • A statement for a given year covers gifts created from January 1 at 12:00 AM through December 31 at 11:59 PM in your organization’s timezone.
  • The date shown next to each gift on the statement is that same created date, shown in your organization’s timezone.
  • Because the year is measured in your organization’s timezone, a gift made late on December 31 your local time counts toward that year, even if it appears as January 1 in another timezone.
Make sure your organization’s timezone is set correctly in your organization settings, since it controls where the year boundaries fall.

Common situations

A gift was made on December 30 but paid out in January. It belongs to the earlier year. Payout timing does not move a gift to the next year. A bank-transfer (ACH) gift was started in December and is still processing. It is counted in the year it was created. Gifts that are processing or pending are included on the statement; gifts that fail, are cancelled, are fully refunded, or are disputed are not. A scheduled gift is set to be charged in the future. A pending gift whose charge date has not arrived yet is left off the statement. Once it is charged, it counts in the year it was created. Gifts that were imported from another system. Imported gifts are assigned the original gift date from the import file, not the date you ran the import. If an imported gift shows up in the wrong year, check the gift date in the file you imported. Canadian organizations with tax receipting turned on. Gifts that already have an individual tax receipt are left off the annual statement so they are not counted twice. The annual statement total may therefore be lower than a donor’s total giving for the year. See Tax Documents in WeGive.

Frequently asked questions

Does the payout (deposit) date affect the tax year? No. Only the date the gift was created matters. Can I move a gift to a different tax year? There is no setting for this. If a gift’s date is wrong, contact WeGive Support so the record can be reviewed. Why is a gift missing from this year’s statement? Check the gift’s date in your organization’s timezone, check that its status is not failed, cancelled, refunded, or disputed, confirm it is not a scheduled gift that hasn’t been charged yet, and, for Canadian organizations, confirm it wasn’t already covered by an individual receipt.
