Every data table in the WeGive dashboard supports a one-time (ad-hoc) export. Unlike a scheduled export that runs on a recurring cadence, a one-time export runs immediately and produces a single CSV file you can download right away. This guide walks through the steps.

Which tables support export

Export is available on all major data tables, including Supporters, Payments, Recurring Plans, Campaigns, Fundraisers, Registrations, Allocations, Soft Credits, Checkouts, Checkout Sessions, Payouts, Pledges, Households, Form Submissions, Custom Questions, Custom Question Answers, Waivers, Donor Messages, Audit Logs, Integration Logs, and more. If a table has a selection checkbox column, it almost certainly supports export.

Step 1: Select the rows you want to export

Navigate to the table that holds the data you need — for example, Payments or All Supporters. Apply any filters you want (date range, status, designation, etc.) to narrow the data set. To export, you must first select rows:
  • Select individual rows by checking the checkbox next to each row.
  • Select all visible rows by clicking the checkbox in the table header.
  • Select all matching rows across all pages by clicking the Select All banner that appears after selecting the header checkbox. This selects every record matching your current filters — not just the rows visible on the current page.
The selection bar appears at the top of the table once at least one row is selected, showing how many records are selected and offering bulk actions including Export.

Step 2: Click Export and choose your fields

Click the Export button in the selection bar. A field-selector modal opens where you choose exactly which columns to include in the exported file. Fields are organized into categories (for example, Donor, Payment, Recurring, Fund, Household, Custom Field, and more depending on the table). You can:
  • Check or uncheck individual fields to include only what you need.
  • Use the select-all and deselect-all controls to toggle an entire category at once.
  • Search to find a specific field by name.
  • Apply a saved preset to quickly reuse a field selection you have saved before, or save your current selection as a preset for future exports.
Give the export a name so you can identify it later, then confirm.

Step 3: Pick up the file from Reporting > Exports

The export is queued and processed in the background. When it finishes, navigate to Reporting > Exports in the left sidebar. The exports list shows every export you have run, with columns for status, model type, row count, and creation date. Once the status shows Processed, click the row to download the CSV file. A success notification also appears immediately after you submit the export, with a View exports link that takes you directly to the exports list.

Tips

  • Filter before selecting — the more targeted your filters, the smaller and more useful the export will be. A “last 7 days” date filter combined with a designation filter is much easier to work with than an unfiltered full-table export.
  • Use field presets — if you regularly run similar exports, save a field-selection preset so you do not have to re-pick columns every time. Presets can be private (visible only to you) or shared with your entire organization.
  • One-time vs. scheduled — if you need the same export on a recurring basis (weekly, monthly, etc.), consider creating a scheduled export instead. Scheduled exports run automatically and can email you when a new file is ready.
