Overview

The Recurring Plans table (Payments > Recurring Plans) in your WeGive dashboard supports two different ways to narrow down results: the plain search box and Advanced Filters. These two tools don’t combine the way you’d expect. If you leave text in the search box and then apply an Advanced Filter — for example, filtering to Status = Missing, or Paused Until / Paused Type = Indefinite — you can end up with 0 results, or far fewer results than actually exist, even though matching records are genuinely in your account.

Why this happens

Once there’s any text in the search box, the table switches from its normal sorted/paginated view to a search-ranked result set capped at 200 records. Your Advanced Filters are then applied only to those first 200 search matches — not to your whole account. If the specific records you’re trying to find (e.g. plans with a Missing status, or ones paused indefinitely) don’t happen to fall within that first 200, the filter has nothing to work with and shows “no data,” even though the records exist. This is different from the table simply “not finding” something — the search box changes how results are selected before your filters ever run.

How to avoid it

  • Clear the search box completely before applying an Advanced Filter. If you only want to filter (by status, pause state, amount, date, etc.) and aren’t trying to find a specific donor or keyword, leave the search box empty and use Advanced Filters on their own — they’ll run against your entire set of recurring plans with no cap.
  • If you need both a keyword search and a filter, apply the filter first and check whether your keyword is truly necessary — a broad keyword search is more likely to push the record you want outside the 200-result cap.
  • If a saved or shared link to a filtered Recurring Plans view returns unexpectedly few or no results, check whether that link also has leftover search text saved in it. Re-open the table, clear the search box, and reapply just the filter.

Practical implication

Treat the search box and Advanced Filters as two different tools for two different jobs: search for finding a specific record by name or keyword, Advanced Filters for narrowing down the full data set by attributes like status or date. Combining them is supported, but the search box’s 200-result cap means a filter layered on top of an active search term can silently hide records that would otherwise show up — always clear the search box first if what you actually need is a complete, filtered view.
