Why Some Payout Line Items Don’t Appear in the Transactions View
When you open a payout in your WeGive dashboard, you see two views of the same data: a summary that rolls up all line items by type and designation, and a transactions list that shows the individual donations, charges, and refunds inside the payout.
Occasionally you may notice that the summary includes line items — particularly fees, adjustments, or other non-donation entries — that don’t appear in the transactions list. This is expected behavior, not missing data.
Why it happens
The transactions list is built around your organization’s donation and charge records. Each row in the list represents a real transaction (a donation, a service-revenue charge, a refund, etc.) with its associated payout line items shown underneath.
Some payout line items exist without a linked transaction. These include:
- Standalone processor fees — network assessment fees, platform fees, or other processor-level charges that aren’t tied to a specific donation
- Adjustments — manual adjustments or transfers applied by your payment processor
- Reserve activity — balance reserves or releases
Because these items don’t belong to any transaction, they can’t appear in a transaction-organized list. They do still appear in the payout summary, which groups all items by type regardless of whether they’re linked to a transaction.
How to reconcile
If you’re reconciling a payout against your bank deposit and the transactions list total doesn’t match:
- Check the summary view first. The summary includes every line item in the payout and is the authoritative total. Look for “No Designation” rows — these represent items that aren’t tied to a specific transaction or fund.
- Compare summary totals to transactions totals. The difference between the two is the value of unlinked items (fees, adjustments, reserves) that only appear in the summary.
- Use the payout items view (if available) to see every individual line item, including those without a linked transaction.
Fee display
Fees in the transactions list are always shown as negative numbers, making it clear they are deductions from the gross amount. The summary view follows the same convention for transaction-linked items, but standalone fee entries (those in the “No Designation” grouping) may display with the sign convention used by your payment processor. The net and gross columns remain accurate for reconciliation purposes.
