Revenue reporting overview

Revenue reporting is where you track how much money your organization is bringing in through WeGive — across donations, service/program revenue, recurring gifts, and one-time contributions. This guide walks through each metric, how the numbers are calculated, how to filter and compare data, and how to export it.

Where to find it

Revenue reporting lives under Settings → Organization KPIs in the dashboard (not the Home landing page — Home shows tasks and activity, not revenue metrics). This is where every timespan KPI below lives, along with time-series charts. For a transaction-level view, navigate to Payments, which is where any “drill-in” links on revenue cards take you.

The core revenue metrics

Every KPI card on the Organization KPIs page follows the same rules for what’s counted: only successful, non-test transactions are included. Failed, pending, refunded, and disputed payments are excluded. Within those rules, each metric measures a slightly different slice of revenue. These are grouped under “Revenue” alongside KPIs for Supporters, Fees, Recurring plans, and Portal & checkout activity — this guide covers the Revenue group.

Gross Total Revenue

The total dollar amount of every successful transaction in the period — both tax-deductible donations and non-deductible service revenue (such as event tickets, program fees, or merchandise). This is the “top-line” number before any processing costs are removed. Fees paid by the donor on top of their donation are included here.

Net Total Revenue

Gross Total Revenue minus processing fees. Specifically, a single combined fee field covering both the payment processor fee and any platform fee is subtracted. This is the amount your organization actually keeps before payouts. If a donor elected to cover fees at checkout, their fee-coverage amount is still part of gross revenue, but the corresponding fee is still deducted when calculating net — so in fee-covered transactions, net will closely match the intended donation amount.

Gross Donation Volume

Like Gross Total Revenue, but limited to tax-deductible donation transactions. This excludes service revenue. Use this when you need a number specifically for donation-side reporting (for example, giving totals for a board report or year-end letters).

Net Donation Volume

Gross Donation Volume minus processing fees on those donations — the donation-only counterpart to Net Total Revenue.

Gross Service-Revenue

The sum of non-tax-deductible payments made (event tickets, program fees, merchandise, and similar) — the mirror image of Gross Donation Volume.

Net Service-Revenue

Gross Service-Revenue minus the processing fees on those payments.

Recurring Donations Total

The total value of active recurring commitments in the period. This reflects revenue coming in from donors who have an active monthly, quarterly, or annual schedule — a key indicator of predictable, sustained giving.

Non-Recurring Revenue

Revenue from one-time transactions only. Useful for understanding how much of your giving is event-driven or campaign-driven versus recurring baseline.

Average Donation Size

The average transaction amount in the period.

Refunds

The sum of refunds issued in the period.
The Fees group (Fee Covered Rate, Fees Covered, Effective Fees) and the Supporters/Recurring plans/Portal & checkout activity groups on the same Organization KPIs page are out of scope for this revenue-focused guide, but live right alongside these cards if you need donor-count or fee-coverage context.
Alongside the KPI cards you’ll see two charts: Giving Over Time, which plots donation totals across the selected date range, and Active Supporters, which plots donor counts on the same timeline — useful for spotting whether revenue changes are driven by more donors, larger gifts, or both.

Date ranges and comparisons

Every KPI card and chart respects the date range selected at the top of the page. This page’s filtering is independent of table-level filters elsewhere in the dashboard — the page explicitly notes that table filters do not apply here. WeGive offers these preset ranges:
  • Last 30 days — one of a few “quick” presets shown directly as buttons
  • Today, Yesterday, Last 7 days, Last 90 days — additional “Recent days” presets, available from the “More periods” dropdown
  • Year to date (YTD), Last year — quick preset buttons using calendar (January–December) years
  • This month, Last month, Quarter to date, Last quarter, Half-year to date, Last half-year — additional “Calendar periods” presets from the dropdown (half-year periods are Jan–Jun / Jul–Dec)
  • Any custom range — use the date range picker directly; there’s no separate “Custom” button, just pick any start and end date
Each metric displays a comparison beneath the current value, but it is not a “prior period of the same length” — it’s a year-over-year comparison: the same date range exactly one year earlier (confirmed by the page’s own helper text: “Charts and cards compare this period with the same period last year”). For example, if you select “Last 30 days” (say, Sept 3–Oct 2, 2026), the comparison value covers Sept 3–Oct 2, 2025 — not the 30 days immediately prior to your selected range. The percentage delta shows whether the metric is up or down versus that same window last year. All dates are interpreted in your organization’s configured time zone (shown next to the date range picker) and converted to UTC when the dashboard queries the database — so numbers will be consistent no matter where your team is viewing from.

Filters

Unlike most dashboard list pages, the Organization KPIs page has no campaign, fund, payment-method, or transaction-type filters — only the date range applies. If you need revenue broken out by campaign, fund, or payment method, use the Donations page’s own filters and look at the filtered totals there instead.

Drilling into the data

Every revenue number is a summary of underlying transactions. To see the individual transactions behind any KPI, click through into the Payments page (not a page called “Donations” — the dashboard’s transaction list is named Payments).

Exporting revenue data

For offline analysis, board packets, or accounting reconciliation, revenue data can be exported as CSV from the Payments page. Set your filters (date range, campaign, fund, etc.) to match what you see on the Organization KPIs page, then use Export to download the underlying transaction detail. WeGive also offers Financial Reconciliation and Payout Reconciliation views if you need to tie revenue back to specific bank deposits.

Things to know

  • Test transactions are never included in revenue reporting. If you run a checkout test or sandbox transaction, it will not affect any KPI.
  • Refunded transactions drop out entirely — they are not shown as negative values. If you refund a gift made last month, last month’s gross revenue will retroactively be lower the next time the page loads.
  • Service revenue is included in Gross and Net Total Revenue, but not in Gross Donation Volume. This is the most common source of “the numbers don’t match” questions — make sure you’re comparing apples to apples.
  • Fee-covered donations: when a donor covers fees, the gross amount includes the fee coverage, and the net amount deducts the fee. The result is that the net amount roughly equals what the donor intended to give.
  • Currency: all totals are displayed in your organization’s default currency. Transactions made in other currencies are converted at the time of processing.
  • Recurring totals reflect commitments active in the period, not lifetime recurring value. A recurring gift that was cancelled before the period starts will not be counted.
